What information we collect
When you submit an enquiry through our website form, we collect the information you choose to provide, which may include:
- Your name, email address, phone number and postcode
- Details about your project — the type of work, approximate budget, timescale, property type, room dimensions and requirements
- Photographs of your bathroom or inspiration images you choose to upload
- How you heard about us
If you contact us by phone, email or in our showroom, we collect the information you give us in that conversation, such as contact details and project requirements.
Why we collect it and our lawful basis
We use your information to:
- Respond to your enquiry and arrange consultations
- Prepare designs, quotations and estimates for your project
- Carry out and manage work you have asked us to do
- Keep records we are legally required to keep, such as invoices and accounts
Our lawful basis for processing is: taking steps at your request before entering into a contract, and performing that contract (UK GDPR Article 6(1)(b)); our legitimate interest in responding to enquiries and running our business (Article 6(1)(f)); and legal obligation for records we must keep by law (Article 6(1)(c)).
We do not sell your information, and we do not send marketing emails unless you have asked us to keep in touch.
Where your information is stored
Website enquiries are processed by Netlify (our website hosting provider) and delivered to our business email, which is hosted by Microsoft 365. Project and accounting records are kept in our business systems. These providers act as data processors on our behalf and store data securely. Some providers may process data outside the UK; where they do, transfers are protected by recognised safeguards such as the UK International Data Transfer Agreement or adequacy decisions.
How long we keep it
- Enquiries that do not become projects: up to 12 months, so we can respond if you come back to us, then deleted
- Customer project records: 6 years after the project ends, in line with legal and warranty obligations
- Financial records: 6 years, as required by HMRC
Who we share it with
We only share your information where necessary to deliver your project or run our business: with our fitters and tradespeople working on your project, with suppliers where a delivery to your address is needed, and with our service providers (website hosting, email, accounting software). We never sell or rent your details to anyone.
Your rights
Under UK data protection law you have the right to:
- Ask for a copy of the information we hold about you
- Ask us to correct inaccurate information
- Ask us to delete your information where we no longer need it
- Object to or restrict how we use your information
- Withdraw consent at any time where our processing relies on consent
To exercise any of these rights, email sales@letchworthtilesandbathrooms.co.uk. We will respond within one month. If you are unhappy with how we handle your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
